Elements Of A Press Release

Press Releases generally follow a standard format and always contain the same basic elements. Here are the main elements of a press release, we'll look at how to lay them out in a moment.
  1. FOR IMMEDIATE RELEASE

Should appear at the top left of the page, under your letter-head. Capitalize the entire phrase.

  2. Your Contact Information

Leave a blank line under "FOR IMMEDIATE RELEASE", and then list your (or your company's spokesperson's) name, title, telephone and fax numbers. It is recommended that you also include your web site URL and e-mail address.

Make it easy for a reporter to contact you, if he needs more information.

Additionally as many reporters work to tight deadlines, you should consider giving your home telephone number as well.

  3. Your Headline

Leave one or two blank lines, and then write your headline in a bold.

  4. Dateline

Your location (city and state) and the date of your release.

  5. Lead Paragraph

The first paragraph should grab the reader's attention, and the basic information behind your message: including the five W's (who, what, when, where, why).

  6. Additional Paragraphs

In this section you should fully explain your message and complete the story.

  7. Recap

If necessary you may recap general details about your company or products at the end of your press release.
